Job Description

Overview

  • Support international educational programs, exchange initiatives, and visiting scholar programs, ensuring seamless logistics and coordination.
  • Collaborate with multiple departments to manage travel arrangements, meetings, and program schedules effectively.
  • Facilitate communication with international societies and participants, addressing inquiries and providing comprehensive support.
  • Assist in marketing and promotion of exchange programs, enhancing global outreach and participation.
  • Coordinate financial activities, including reimbursements and budget compliance for international programs.
  • Ensure compliance with travel requirements and manage logistics for international delegations and scholars.
  • Develop outcomes assessment tools and administer surveys to evaluate program effectiveness.
  • Support special projects and routine departmental initiatives as needed.

Key Responsibilities & Duties

  • Provide administrative support, including managing communications, maintaining schedules, and coordinating travel logistics.
  • Draft correspondence, reports, agendas, and briefing materials for international programs and meetings.
  • Assist in the selection and tracking of exchange program applications and participant logistics.
  • Coordinate travel arrangements for scholars, ensuring compliance with budgets and program guidelines.
  • Facilitate communication with hosting sites and participants, ensuring smooth program execution.
  • Collaborate with marketing teams to promote international educational programs effectively.
  • Organize logistics for international meetings and annual events, including transportation and lodging arrangements.
  • Administer group membership opportunities and coordinate related processes with international organizations.

Job Requirements

  • Bachelor’s degree in a relevant field; Associate degree with equivalent experience considered.
  • Minimum of 3 years of administrative support experience; 4 years preferred.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational and time management skills with attention to detail.
  • Effective communication skills, both written and verbal, with a global perspective.
  • Ability to manage multiple tasks and meet deadlines in a dynamic environment.
  • Experience in international program coordination and logistics preferred.
  • Adaptability and a collaborative approach to teamwork.
