Overview
- Provide high-level administrative support to executives, ensuring efficient operations and prioritization of critical tasks.
- Coordinate complex schedules, meetings, and travel arrangements for seamless executive operations.
- Prepare, track, and reconcile expense reports with accuracy and timeliness.
- Draft and edit professional correspondence, presentations, and documents on behalf of executives.
- Monitor deadlines, action items, and deliverables to ensure organizational efficiency.
- Act as a liaison between executives and stakeholders, maintaining professionalism and discretion.
- Support team events, offsites, and leadership initiatives with logistical execution.
- Collaborate with other Executive Assistants to ensure consistent coverage and cross-team collaboration.
Key Responsibilities & Duties
- Manage complex executive calendars, resolving conflicts and anticipating needs.
- Arrange and oversee domestic and international travel, including last-minute adjustments.
- Coordinate internal and external meetings, ensuring agendas and follow-ups are handled seamlessly.
- Draft, edit, and prepare correspondence and presentations for executives.
- Monitor deadlines and deliverables to ensure organizational efficiency.
- Act as a proactive partner to executives, prioritizing time and objectives.
- Support team events and leadership initiatives with logistical execution.
- Handle sensitive and confidential information with utmost care and judgment.
Job Requirements
- Bachelor of Arts (BA) degree required.
- 4–7 years of experience supporting C-level executives, preferably in financial services or high-growth companies.
- Proficiency in Microsoft Office Suite; familiarity with collaboration tools like Zoom, Slack, and Concur is a plus.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent written and verbal communication skills with a high degree of professionalism.
- Ability to manage multiple priorities in a fast-paced environment.
