- Coordinate office operations, workspace planning, and reception coverage seamlessly.
- Manage complex calendars, schedule meetings, and anticipate conflicts efficiently.
- Arrange domestic and international travel itineraries and process expense reports accurately.
- Build and maintain positive relationships with internal teams, external partners, and vendors.
- Handle sensitive information with discretion and maintain professionalism in high-pressure situations.
- Utilize advanced proficiency in Microsoft Office and Concur for operational efficiency.
- Contribute to special projects and ad hoc tasks as required by the organization.
Key Responsibilities & Duties
- Provide administrative support to Vice Presidents and Associates, ensuring seamless operations.
- Coordinate calendars, schedule meetings, and manage potential conflicts proactively.
- Arrange travel itineraries, including transportation and accommodation, for executives.
- Process expense reports using Concur with accuracy and efficiency.
- Maintain positive relationships with internal and external stakeholders.
- Ensure reception coverage and workspace planning during team member travel.
- Handle sensitive information with discretion and maintain confidentiality.
- Contribute to special projects and ad hoc tasks as assigned.
Job Requirements
- Bachelor’s degree preferred, preferably in a related field.
- Minimum of 5 years of administrative experience, ideally in financial services or corporate settings.
- Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Concur.
- Strong organizational, time-management, and problem-solving skills.
