Job Description

Overview

  • Provide critical administrative support to executives and associates in a dynamic investment-focused environment.
  • Coordinate office operations, workspace planning, and reception coverage seamlessly.
  • Manage complex calendars, schedule meetings, and anticipate conflicts efficiently.
  • Arrange domestic and international travel itineraries and process expense reports accurately.
  • Build and maintain positive relationships with internal teams, external partners, and vendors.
  • Handle sensitive information with discretion and maintain professionalism in high-pressure situations.
  • Utilize advanced proficiency in Microsoft Office and Concur for operational efficiency.
  • Contribute to special projects and ad hoc tasks as required by the organization.

Key Responsibilities & Duties

  • Provide administrative support to Vice Presidents and Associates, ensuring seamless operations.
  • Coordinate calendars, schedule meetings, and manage potential conflicts proactively.
  • Arrange travel itineraries, including transportation and accommodation, for executives.
  • Process expense reports using Concur with accuracy and efficiency.
  • Maintain positive relationships with internal and external stakeholders.
  • Ensure reception coverage and workspace planning during team member travel.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Contribute to special projects and ad hoc tasks as assigned.

Job Requirements

  • Bachelor’s degree preferred, preferably in a related field.
  • Minimum of 5 years of administrative experience, ideally in financial services or corporate settings.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Concur.
  • Strong organizational, time-management, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proactive approach to work and ability to meet tight deadlines.
  • Professional demeanor and flexibility in response to changing priorities.
