Job Description

Overview

  • Act as the welcoming face of the organization, ensuring a positive experience for visitors and staff.
  • Manage incoming communications, including calls and emails, with professionalism and efficiency.
  • Maintain an organized and professional reception area, reflecting the organization's standards.
  • Assist with administrative tasks such as scheduling, document preparation, and correspondence.
  • Collaborate with team members to support daily operations and special projects.

Key Responsibilities & Duties

  • Manage front desk operations, including greeting visitors and handling inquiries professionally.
  • Answer and route phone calls, ensuring timely and accurate communication.
  • Maintain visitor logs and monitor access to ensure security and compliance.
  • Coordinate with internal departments to facilitate scheduling and administrative support.
  • Prepare and distribute correspondence and documentation as required.
  • Ensure the reception area is tidy and stocked with necessary supplies.
  • Assist in organizing meetings and events, including logistical arrangements.
  • Support staff and management with ad-hoc tasks and special projects.

Job Requirements

  • Minimum of 1 year of experience in a receptionist or similar role preferred.
  • Strong organizational and multitasking skills in a dynamic environment.
  • Excellent verbal and written communication skills for effective interaction.
  • Proficiency in using office equipment and software applications.
  • Ability to maintain a professional demeanor and deliver exceptional customer service.
