Job Description

Overview

  • Support departmental operations by performing administrative and business tasks in a hybrid work environment.
  • Handle clerical duties including mail management, inventory control, and office supply ordering.
  • Assist in maintaining departmental filing systems and client mailing lists.
  • Prepare monthly service summaries, statistical reports, and confidential correspondence.
  • Coordinate client transportation to social programs and events as needed.
  • Ensure compliance with mandatory training and organizational standards.
  • Provide excellent customer service and maintain professional communication standards.

Key Responsibilities & Duties

  • Answer and screen telephone calls, providing basic information and routing to appropriate staff.
  • Manage incoming and outgoing mail, ensuring proper delivery and routing.
  • Maintain inventory and order office supplies, adhering to control protocols.
  • Assist in data entry within electronic client record-keeping systems.
  • Prepare and submit check requests, invoices, and travel expense reimbursements.
  • Greet visitors and direct them to appropriate staff members.
  • Support the preparation of statistical reports and departmental documentation.
  • Adhere to organizational policies regarding appearance and absenteeism.

Job Requirements

  • Associate’s degree or two years of college or technical school.
  • Two years of related experience or equivalent education and experience.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Fluency in Russian and English is required.
  • Strong problem-solving abilities and sound judgment.
  • Excellent verbal and written communication skills.
  • Experience working with seniors is preferred.
  • Ability to multi-task and maintain organizational standards.
