Job Description

Overview

  • Provide administrative support in a professional services environment, ensuring efficient operations and high-quality service delivery.
  • Handle document management tasks using iManage or similar systems, maintaining organization and accessibility.
  • Assist with scanning, filing, and archiving incoming mail and medical reports effectively.
  • Serve as backup reception during designated times, ensuring smooth front-office operations.
  • Collaborate with office management and partners to meet administrative needs.
  • Work on-site in a dynamic and professional environment, contributing to team success.
  • Engage in a temporary contract role with potential for impactful contributions.

Key Responsibilities & Duties

  • Scan and file incoming mail using document management systems, ensuring proper organization.
  • Create and manage medical report discs using proprietary systems.
  • Provide reception support during lunch breaks and late afternoons.
  • Interface professionally with clients and attorneys, maintaining a welcoming environment.
  • Collaborate with office management to address administrative needs and priorities.
  • Ensure compliance with organizational standards and procedures in all tasks.
  • Participate in virtual and in-person interview rounds as part of the selection process.

Job Requirements

  • Bachelor of Arts (BA) degree required, demonstrating foundational academic achievement.
  • 2-3 years of experience in administrative roles, preferably within professional services or law firms.
  • Proficiency in iManage or similar document management systems; iManage experience preferred.
  • Strong computer skills, including navigating and utilizing various software systems effectively.
  • Ability to interface professionally with clients and attorneys, maintaining a polished demeanor.
  • Willingness to work on-site, adhering to a structured schedule with a one-hour lunch break.
