Job Description

Overview

  • Provide professional reception services, ensuring smooth communication and support for attorneys and staff.
  • Manage incoming calls, mail, and visitors with a courteous and organized approach.
  • Support administrative tasks, including document scanning, filing, and scheduling pickups.
  • Maintain reception and conference areas to ensure a professional environment.
  • Assist attorneys with file retrieval and document preparation as needed.
  • Collaborate with the team to ensure efficient office operations.

Key Responsibilities & Duties

  • Answer and transfer incoming calls, providing initial client information to attorneys.
  • Scan and upload documents into the filing system accurately and efficiently.
  • Log, stamp, and organize incoming mail to ensure proper distribution.
  • Order office supplies and schedule pickups for deliveries as needed.
  • Greet visitors professionally and maintain a welcoming reception area.
  • Assist with catering arrangements and conference room setup on designated days.
  • Support attorneys by locating files and preparing necessary documents.
  • Ensure neatness and organization of shared office spaces.

Job Requirements

  • Associate of Arts (AA) degree required; legal experience preferred but not mandatory.
  • Minimum 2 years of receptionist or administrative experience, 3 years preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) essential.
  • Strong verbal and written communication skills with a pleasant phone demeanor.
  • Detail-oriented and organized, capable of multitasking effectively.
  • Customer service skills to handle busy client interactions professionally.
  • Ability to work on-site during specified hours with flexibility for catering assistance.
