Job Description

Overview

  • Provide comprehensive administrative support to the Investor Relations team in a dynamic financial services environment.
  • Manage complex schedules and coordinate across multiple time zones for senior executives.
  • Collaborate with Investor Relations and Finance teams on operational and project-based activities.
  • Handle confidential information with discretion and professionalism in a fast-paced setting.
  • Prepare and review investor-facing documents and presentation materials.
  • Coordinate internal and external meetings, including logistics and technology setup.
  • Support operational due diligence and manage fund-focused data rooms.
  • Contribute to the organization’s success by ensuring timely and accurate delivery of information.

Key Responsibilities & Duties

  • Manage calendars for Principals and Vice Presidents, coordinating across time zones.
  • Arrange business travel and logistics, ensuring seamless execution.
  • Process expense reports in compliance with firm policies.
  • Maintain accurate contact lists and distribution groups for effective communication.
  • Support Investor Relations team with operational due diligence and tracking.
  • Assist in the preparation and review of investor-facing documents and materials.
  • Coordinate capital call reminders and related communications.
  • Provide backup support for other Executive Assistants during absences.

Job Requirements

  • Bachelor’s degree in Arts or related field is required.
  • Minimum of 5 years of experience in executive administrative support roles.
  • Proficiency in Microsoft Office Suite including Outlook, Word, PowerPoint, and Excel.
  • Strong organizational and time-management skills to prioritize competing deadlines.
  • High level of attention to detail and discretion in handling confidential information.
  • Experience in financial services or investment management environments preferred.
  • Ability to work effectively across offices and time zones in a collaborative setting.
