Overview
- The Billing Coordinator will manage all aspects of client billing, ensuring accuracy and compliance with guidelines.
- Collaborate with attorneys, clients, and management to address billing-related inquiries and concerns effectively.
- Provide budgets, billing forecasts, and ad hoc reporting to support financial planning and decision-making.
- Submit electronic bills, resolve rejections, and ensure invoices are processed promptly and accurately.
- Review matter setups to ensure proper coding and adherence to client billing guidelines.
- Handle past due invoices, coordinating with attorneys, clients, and collections teams for resolution.
- Work in a hybrid environment, balancing remote and onsite responsibilities effectively.
- Contribute to a collaborative team environment, supporting billing operations and organizational goals.
Key Responsibilities & Duties
- Review and ensure compliance with client billing guidelines, including rates, task codes, and electronic billing.
- Generate proformas, edit narratives, and create LEDES files for accurate billing documentation.
- Submit electronic bills, resolve rejections, and follow through until invoices are paid.
- Provide financial reports, budgets, and forecasts to clients and management as required.
- Coordinate with attorneys, clients, and collections teams to address past due invoices.
- Act as the primary contact for billing-related inquiries for assigned attorneys and clients.
- Assist with ad hoc requests from management, supervisors, and directors of billing.
- Utilize billing software such as Elite, Aderant, or 3E to streamline operations.
Job Requirements
- Associate degree in Business, Accounting, Finance, or related field required; Bachelor’s degree preferred.
- Minimum of 1 year of billing experience; 2 years preferred, ideally within the legal industry.
- Proficiency in billing software such as Elite, Aderant, or 3E is essential.
- Strong analytical skills and critical thinking abilities to manage billing operations effectively.
- Excellent communication skills, both written and oral, for client and team interactions.
- Proficiency in Excel and other reporting tools to generate accurate financial reports.
- Ability to work independently, multitask, and adapt to a fast-paced environment.
- Flexibility to work overtime as needed to meet organizational goals.
