Job Description

Overview

  • Provide comprehensive administrative support to legal professionals in a fast-paced law firm environment.
  • Coordinate schedules, meetings, and travel arrangements for attorneys and clients.
  • Assist with document preparation, formatting, and proofreading to ensure accuracy and compliance.
  • Maintain client files and records in accordance with firm standards and procedures.
  • Collaborate with various departments to facilitate billing and reporting processes.
  • Support high-level attorneys in managing their workload and anticipating needs.
  • Ensure effective communication with clients, vendors, and internal teams.
  • Contribute to maintaining a professional and organized office environment.

Key Responsibilities & Duties

  • Prepare, edit, and finalize legal documents, correspondence, and reports.
  • Coordinate travel arrangements, including flights, accommodations, and transportation.
  • Manage attorney schedules and calendars, ensuring timely notifications and updates.
  • Proofread documents for grammar, punctuation, and formatting accuracy.
  • Assist with client billing processes and generate necessary reports.
  • Handle incoming and outgoing communications, including calls and emails.
  • Collaborate with other departments to ensure seamless workflow and task completion.
  • Maintain organized client files and records in compliance with firm policies.

Job Requirements

  • High School Diploma or GED; Bachelor’s degree preferred.
  • Minimum of 3 years of experience in a legal secretary role; law firm experience preferred.
  • Proficiency in Microsoft Word and legal document formatting.
  • Strong organizational and multitasking skills in a deadline-driven environment.
  • Excellent attention to detail and ability to maintain confidentiality.
  • Effective communication and interpersonal skills for client and team interactions.
  • Ability to type 50-60 words per minute accurately.
  • Experience with DocX Tools is a plus.
