Job Description

Overview

  • Provide administrative support to a dynamic team in a fast-paced environment.
  • Manage travel arrangements and itineraries using specialized travel agency software.
  • Coordinate meetings, plan events, and handle scheduling for stakeholders.
  • Perform expense reporting and supply ordering using designated platforms.
  • Ensure smooth front desk operations, including greeting visitors and managing phones.
  • Maintain and stock kitchen supplies, ensuring availability for staff.
  • Communicate effectively with internal and external stakeholders.
  • Support senior management and project teams with administrative tasks.

Key Responsibilities & Duties

  • Coordinate travel arrangements and itineraries through Egencia Travel Agency.
  • Prepare and manage expense reports using Coupa software.
  • Order and manage office supplies, ensuring timely replenishment.
  • Plan and organize meetings, including scheduling and logistics.
  • Handle front desk operations, including visitor reception and phone management.
  • Stock and maintain kitchen supplies for office staff.
  • Communicate with stakeholders to ensure smooth project operations.
  • Provide administrative support to senior management and project teams.

Job Requirements

  • High School Diploma or GED required.
  • Minimum of 3 years of administrative experience in a fast-paced environment.
  • Proficiency in handling travel arrangements and expense reporting software.
  • Strong organizational skills and attention to detail.
  • Excellent customer service and communication abilities.
  • Ability to manage multiple tasks and prioritize effectively.
  • Comfortable navigating software and learning new platforms.
