Job Description

Overview

  • Provide front desk coverage in a fast-paced financial services environment, ensuring smooth operations and professional representation.
  • Greet and assist visitors, ensuring a welcoming and efficient reception experience.
  • Manage conference room reservations using Outlook and other scheduling systems.
  • Support office operations during business hours from 8 AM to 5 PM.
  • Adapt to flexible lunch arrangements based on office coverage needs.
  • Collaborate with team members to maintain a corporate casual environment.
  • Perform tasks with professionalism and attention to detail in a 175-person office.

Key Responsibilities & Duties

  • Welcome and direct visitors, ensuring a positive first impression of the organization.
  • Coordinate conference room bookings and resolve scheduling conflicts efficiently.
  • Handle incoming calls and correspondence professionally and promptly.
  • Maintain organized and accurate records of office activities and schedules.
  • Assist with administrative tasks to support office operations as needed.
  • Ensure the reception area is tidy and presentable at all times.
  • Collaborate with colleagues to address operational challenges effectively.

Job Requirements

  • Bachelor of Arts (BA) degree or equivalent educational background.
  • Minimum of 2 years of receptionist experience, preferably in financial services.
  • Proficiency in Microsoft Outlook and conference room reservation systems.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent communication and interpersonal skills for visitor engagement.
