Job Description

Overview

  • Coordinate clinic schedules, ensuring efficient patient appointment management and adherence to department protocols.
  • Handle patient communications, including appointment confirmations, follow-ups, and addressing inquiries promptly.
  • Manage internal and external referrals, scheduling appointments and maintaining accurate records.
  • Monitor treatment progress, ensuring timely updates and communication with relevant stakeholders.
  • Assist clinic manager with administrative tasks, including generating reports and managing documentation.
  • Support clinic operations by ensuring compliance with organizational policies and procedures.
  • Collaborate with clinical staff to optimize patient care and clinic efficiency.
  • Maintain accurate records of patient interactions and treatment schedules.

Key Responsibilities & Duties

  • Coordinate patient schedules using cancellation lists and treatment progress data.
  • Conduct confirmation calls and verify fee balances for upcoming appointments.
  • Respond to patient inquiries and manage follow-up communications effectively.
  • Monitor and manage referrals, ensuring timely scheduling and communication with referring entities.
  • Generate and deliver correspondence forms for external communications.
  • Run appointment and treatment progress reports for clinic management.
  • Assist clinic manager with administrative tasks and special projects as needed.
  • Ensure proper documentation and tracking of patient treatment sessions.

Job Requirements

  • High School Diploma or GED required; additional certifications in healthcare administration preferred.
  • Minimum of 1 year of experience in clinic coordination or healthcare administration.
  • Proficiency in scheduling software and patient management systems.
  • Strong organizational skills and attention to detail for managing clinic operations.
  • Excellent communication skills for interacting with patients and clinical staff.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Knowledge of healthcare protocols and patient confidentiality standards.
