Overview
- Serve as the first point-of-contact for prospective residents and referral sources in an Assisted Living Program.
- Coordinate pre-admission activities with nursing and case management teams to ensure smooth transitions.
- Manage facility tours, inquiries, and waitlists to maintain census goals.
- Oversee apartment preparation for new resident move-ins and turnover activities.
- Provide clerical support to the administrative office, including data entry and invoice processing.
- Coordinate ancillary services such as transportation, newspaper delivery, and internet setup for residents.
- Ensure effective communication with staff, residents, and community sources.
- Contribute to maintaining a welcoming and organized environment for residents and staff.
Key Responsibilities & Duties
- Respond to inquiries and follow up with prospective residents and referral sources.
- Conduct facility tours and maintain associated documentation and waitlists.
- Coordinate apartment readiness for new residents, including keys and signage preparation.
- Facilitate Medicaid transportation for residents attending external appointments.
- Process accounts payable invoices and purchase requisitions accurately.
- Perform data entry into electronic health records, ensuring accuracy and compliance.
- Provide administrative support during the absence of the Administrative Coordinator.
- Collaborate with engineering and housekeeping teams for apartment turnover activities.
Job Requirements
- High School Diploma or GED required; higher education preferred.
- Minimum of one year of relevant experience in a similar role.
- Proficiency in computer skills, including word processing and spreadsheets.
- Strong customer service and communication skills.
- Ability to interact effectively with adult and elderly populations.
- Preferred ability to speak and write in Spanish.
- Organizational and problem-solving skills to manage multiple tasks efficiently.
