Overview
- Coordinate and support technical programs within a hybrid work environment, focusing on project schedules, documentation, and vendor integration.
- Assist in managing the Freedom program and Next-Gen CGM device development, ensuring smooth transitions from studies to commercialization.
- Collaborate with project managers to consolidate schedules, identify risks, and improve coordination across multiple programs.
- Maintain program-level dashboards and track project metrics, ensuring visibility and alignment with organizational goals.
- Support resource allocation planning, ensuring optimal utilization and timely completion of deliverables.
- Standardize PMO tools, processes, and templates to enhance efficiency and consistency across projects.
- Provide technical review coordination and assist in template creation for streamlined project management.
- Potentially manage small projects independently, reporting progress to the core team and stakeholders.
Key Responsibilities & Duties
- Create and maintain integrated program schedules, ensuring alignment with project goals and timelines.
- Track and manage project schedules, task lists, and document progress to ensure timely completion.
- Develop and maintain dashboards to monitor schedule, budget, and risks across programs.
- Assist project managers with planning, administration, and resource allocation for efficient project execution.
- Support technical reviews by coordinating schedules and creating standardized templates.
- Identify and communicate critical paths and competing resource priorities to stakeholders.
- Monitor resource allocation and timelines, ensuring optimal utilization and risk mitigation.
- Escalate issues to project managers as needed, ensuring prompt resolution and project continuity.
Job Requirements
- Bachelor of Science (BS) degree in a relevant field is required.
- 5-7 years of experience in project coordination within regulated environments such as biotech or medical devices.
- Proficiency in Microsoft Project and Excel for project tracking and analysis.
- Experience with integrated schedules and critical path analysis to identify risks and optimize timelines.
- Strong documentation skills and attention to detail for maintaining project records and dashboards.
- Familiarity with Smartsheet and Monte Carlo simulation is a plus.
- Ability to manage small projects independently and collaborate effectively with cross-functional teams.
