Job Description

Overview

  • Provide high-level administrative support to the CEO, ensuring efficient operations and seamless communication across organizational levels.
  • Manage complex schedules, prioritize tasks, and anticipate needs to enhance productivity and decision-making.
  • Represent the CEO in communications with internal teams and external partners, fostering strong relationships and confidentiality.
  • Coordinate special projects, events, and research initiatives, delivering high-quality results under tight deadlines.
  • Prepare the CEO for meetings and presentations by compiling relevant materials and information.
  • Maintain administrative procedures and workflows, including expense monitoring and approval processes.
  • Work on-site with flexibility for extended hours to meet organizational demands.
  • Collaborate with diverse teams and stakeholders, ensuring effective communication and alignment with organizational goals.

Key Responsibilities & Duties

  • Manage and optimize the CEO's complex calendar, addressing time-sensitive and confidential requests efficiently.
  • Act as a liaison between the CEO's office and internal departments, as well as external stakeholders.
  • Handle inquiries and requests, determining appropriate actions and delegations to ensure smooth operations.
  • Prepare and organize materials for meetings, presentations, and events to ensure readiness and professionalism.
  • Conduct research and data analysis to support strategic initiatives and informed decision-making.
  • Manage administrative workflows and communications, maintaining accuracy and confidentiality at all times.
  • Monitor and approve departmental expenses, ensuring adherence to budgetary guidelines and financial policies.
  • Support the CEO in achieving organizational goals through proactive planning and execution of tasks.

Job Requirements

  • Bachelor's degree required, preferably in a related field such as business or communications.
  • 1-3 years of experience in administrative roles or equivalent internships, showcasing organizational skills.
  • Proficiency in Google Suite applications and Apple devices (MAC, iPhone, iPad) is essential.
  • Strong organizational and problem-solving skills with meticulous attention to detail.
  • Ability to manage multiple priorities effectively in a fast-paced environment.
  • Excellent communication skills to interact professionally with diverse audiences.
  • Flexibility to work extended hours and adapt to changing organizational demands.
  • COVID-19 vaccination or booster within the last two years is required for on-site work.
