Overview

  • Provide high-level administrative support to senior executives in a dynamic financial services environment, ensuring seamless operations and effective communication.
  • Manage complex schedules, travel arrangements, and expense reporting with precision and efficiency.
  • Act as a key liaison for internal and external communications, fostering strong relationships and streamlined processes.
  • Handle sensitive information with utmost discretion and professionalism in a fast-paced setting.

Key Responsibilities & Duties

  • Coordinate and manage complex executive calendars, resolving scheduling conflicts and prioritizing appointments effectively.
  • Arrange comprehensive domestic and international travel plans, ensuring seamless logistics and timely execution.
  • Process and reconcile expense reports, maintaining accuracy and compliance with company policies.
  • Facilitate communication between executives and stakeholders, ensuring clarity and efficiency in interactions.
  • Assist in the creation, editing, and formatting of professional documents and presentations.
  • Handle confidential information with discretion, maintaining trust and professionalism at all times.

Job Requirements

  • Bachelor’s degree preferred, ideally in business administration or a related field.
  • 5–7+ years of experience providing executive-level support in financial services or similar industries.
  • Proficiency in Microsoft Office Suite and expense management systems like Concur.
  • Exceptional organizational and time-management skills with a keen attention to detail.
  • Strong written and verbal communication skills for effective stakeholder engagement.
  • Ability to manage multiple priorities under pressure while maintaining composure and effectiveness.
  • Demonstrated discretion and professionalism in handling sensitive information.
