Overview

  • Provide advanced administrative support to senior executives, ensuring seamless operations and effective communication within the organization.
  • Coordinate complex schedules, manage meetings across time zones, and handle confidential information with utmost discretion.
  • Organize international and domestic travel arrangements, ensuring efficient logistics and smooth experiences for executives.
  • Collaborate with executive assistants to enhance team efficiency and provide cross-support as needed.
  • Prepare and proofread presentations, documents, and communications for executive-level engagements.
  • Coordinate events, manage expense reports, and oversee catering and transportation services.
  • Foster professional relationships across the organization, promoting a collaborative and productive environment.
  • Adapt to dynamic schedules and priorities, demonstrating flexibility and reliability in all tasks.
  • Mentor less experienced support staff, contributing to their professional growth and team capabilities.

Key Responsibilities & Duties

  • Manage executive calendars, coordinating meetings with internal and external stakeholders across multiple time zones.
  • Act as a gatekeeper for senior executives, prioritizing schedules and commitments effectively.
  • Arrange comprehensive travel plans, including flights, accommodations, and transportation for domestic and international trips.
  • Prepare and proofread presentations and documents, ensuring accuracy and professionalism in all communications.
  • Coordinate events, manage expense reports, and oversee logistical arrangements for meetings and functions.
  • Collaborate with other executive assistants to provide seamless support across the leadership team.
  • Handle sensitive and confidential information with discretion and professionalism.

Job Requirements

  • Bachelor’s degree or equivalent experience, preferably in a related field.
  • Minimum of 10 years of experience supporting senior executives in a professional setting.
  • Proven ability to manage complex schedules and coordinate across time zones.
  • Exceptional interpersonal skills and ability to build relationships within and outside the organization.
  • Strong organizational skills, attention to detail, and ability to prioritize tasks effectively.
  • Proficiency in handling confidential information with discretion and professionalism.
  • Experience in event coordination and logistical planning for executive-level activities.
  • Ability to work independently and adapt to changing priorities and schedules.
