Job Description

Overview

  • Manage complex calendars, coordinate meetings, and ensure seamless scheduling for internal and external stakeholders.
  • Prepare and process detailed expense reports, including reconciliation of firm credit card transactions.
  • Draft, proofread, and finalize documents, presentations, and correspondence with accuracy and attention to detail.
  • Handle confidential and sensitive information with discretion and integrity in a fast-paced environment.
  • Support special projects and ad hoc tasks, ensuring timely completion and alignment with organizational goals.
  • Collaborate with senior leadership, including the Chair of the firm, on operational and strategic initiatives.

Key Responsibilities & Duties

  • Track deadlines and proactively follow up on deliverables to ensure timely completion.
  • Assist in coordinating and executing special projects involving multiple stakeholders.
  • Maintain professionalism and responsiveness in all interactions, upholding the firm's standards.
  • Provide organizational support for events, meetings, and other firm activities.
  • Assist with miscellaneous tasks, including errands and addressing time-sensitive needs.

Job Requirements

  • Bachelor’s degree preferred, ideally in a related field.
  • Minimum of 4 years of experience supporting C-suite executives in professional services.
  • Proficiency in Microsoft Office Suite and Adobe Professional.
  • Exceptional written and verbal communication skills, with strong attention to detail.
  • Demonstrated ability to manage multiple priorities in a dynamic environment.
  • Strong organizational and time management skills, ensuring timely and accurate task completion.
  • Proactive and resourceful approach to problem-solving and task management.
  • Availability outside regular hours to support urgent business matters when needed.
