Job Description

Overview

  • Provide temporary administrative support for conference and marketing operations during a busy spring period.
  • Assist with data entry, customer support, exhibitor assistance, and shipment preparation for major events.
  • Adhere to a hybrid schedule requiring in-person attendance two days per week, including Tuesdays.
  • Collaborate with the Conferences and Industry Relations teams to ensure smooth operations.
  • Engage in tasks involving conference registration systems, exhibitor database management, and shipment logistics.
  • Support customer service efforts by responding to member and attendee inquiries via email.
  • Contribute to the preparation and organization of conference-related materials and shipments.
  • Ensure accurate record-keeping and data management for conference and exhibitor operations.

Key Responsibilities & Duties

  • Enter and update information in conference registration systems, ensuring accuracy and completeness.
  • Pull weekly registration reports and upload them as directed by the team.
  • Assist with responding to member and attendee inquiries using provided templates.
  • Prepare exhibitor packets and conference materials for distribution.
  • Organize and pack shipments for conference sites, ensuring timely delivery.
  • Collect exhibitor company descriptions and certificates of insurance for database entry.
  • Maintain accurate records of exhibitor product categories and priority points in the database.
  • Assist with entering finalized conference details into registration systems.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum of 2 years of experience, with 5 years preferred.
  • Strong attention to detail and comfort with routine data entry tasks.
  • Basic customer service experience, particularly in email support.
  • Proficiency in Microsoft Outlook, Excel, and Word.
  • Ability to lift and pack boxes for shipment preparation.
  • Familiarity with conference registration systems like Cvent or Aptify is a plus.
  • Organized, dependable, and capable of handling multiple tasks effectively.
