Job Description
Overview
- Assist attorneys with finance and securitization transactions, ensuring compliance with legal standards and confidentiality requirements.
- Prepare and manage legal documents, including UCC filings, good standing certificates, and closing binders.
- Coordinate and organize data rooms, document execution, and distribution processes.
- Utilize Microsoft Office and AI-enabled productivity tools for document preparation and collaboration.
- Provide notary public services and manage vendor invoices as needed.
- Maintain accurate time records and adhere to professional ethical standards.
- Support attorneys in client communication and external correspondence.
- Contribute to a collaborative and collegial work environment within the legal team.
Key Responsibilities & Duties
- Conduct UCC searches, analyze results, and prepare related charts and filings.
- Compile and manage execution versions of agreements and signature page packets.
- Prepare SS4 applications, W-9 forms, and manage IRS applications for EINs.
- Organize and update data rooms and closing deliverables for transactions.
- Proofread, redline, and compare legal documents for accuracy and compliance.
- Prepare and distribute closing binders in both digital and hard copy formats.
- Manage external vendor requests, including processing and payment of invoices.
- Provide administrative support for attorneys, including document notarization and correspondence.
Job Requirements
- Bachelor's degree required, preferably in a related field.
- Minimum of 1 year experience in a legal or professional environment.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and AI-enabled productivity tools.
- Strong organizational skills and ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills for collaboration and independent work.
- Commitment to ethical standards and compliance with professional conduct rules.
- Willingness to work on-site five days per week and travel as required.
- Ability to work overtime to meet case needs and deadlines.
