Job Description

Overview

  • Support the Chief People Officer and HR Leadership Team in managing daily operations and communications.
  • Coordinate cross-functional projects and ensure seamless execution of HR initiatives.
  • Handle complex calendar management, travel logistics, and meeting coordination across multiple time zones.
  • Prepare presentation materials, reports, and communications with attention to detail.
  • Maintain confidentiality while managing sensitive information related to HR strategies.
  • Contribute to team goal tracking and support strategic HR programs effectively.
  • Organize internal HR events, recognition programs, and employee appreciation initiatives.
  • Process expense reports and manage administrative tasks efficiently.

Key Responsibilities & Duties

  • Manage executive calendars, coordinate meetings, and arrange travel logistics for HR leaders.
  • Serve as a liaison between HR leadership and internal/external stakeholders.
  • Prepare and draft reports, memos, and presentation materials for HR initiatives.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Support HR department-wide initiatives and manage internal events and recognition programs.
  • Track deadlines and milestones related to HR programs and compliance.
  • Coordinate project timelines and gather data for strategic decision-making.
  • Provide occasional personal support to executives, including travel arrangements and appointments.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum of 4 years of executive-level administrative support experience, preferably in HR or consulting.
  • Proven ability to handle confidential information with discretion and professionalism.
  • Advanced proficiency in Microsoft Office Suite and Google Workspace tools.
  • Strong business judgment and prioritization skills in a dynamic environment.
  • Exceptional written and verbal communication skills.
  • Positive, proactive, and collaborative attitude with a customer service orientation.
  • Experience in managing cross-functional projects and supporting strategic HR programs.
