Overview

  • Provide comprehensive administrative support in a dynamic environment, ensuring seamless operations and effective communication.
  • Work closely with the Executive Assistant to support high-level tasks and manage priorities efficiently.
  • Coordinate schedules, travel arrangements, and meetings for the Principal and stakeholders.
  • Handle sensitive matters with discretion and maintain confidentiality at all times.
  • Operate in a private home office setting, balancing professionalism with adaptability.
  • Support property management tasks, including vendor coordination and maintenance scheduling.
  • Assist with household logistics, organization projects, and inventory management.
  • Provide technology support, coordinating with IT and managing digital files effectively.

Key Responsibilities & Duties

  • Manage dynamic schedules, ensuring accuracy and proactive communication across multiple time zones.
  • Coordinate travel arrangements and maintain detailed itineraries for the Principal.
  • Prepare meeting materials, summaries, and follow-ups to support decision-making processes.
  • Serve as a liaison between the Principal and external stakeholders, ensuring effective communication.
  • Handle household logistics, including mail, deliveries, and errands, with efficiency.
  • Coordinate with vendors and building management to ensure smooth property operations.
  • Maintain organized physical and digital records, ensuring accessibility and security.
  • Provide technology support, troubleshooting issues and coordinating with IT professionals.

Job Requirements

  • Associate of Arts (AA) degree or equivalent educational background required.
  • Minimum of 3 years of administrative experience; 5 years preferred.
  • Proficiency in managing schedules, travel arrangements, and meeting logistics.
  • Strong organizational skills and attention to detail in handling tasks and records.
  • Ability to maintain discretion and confidentiality in sensitive matters.
  • Experience in property management and vendor coordination is advantageous.
  • Comfortable working in a private home office setting with flexibility to adapt.
  • Technical proficiency and ability to troubleshoot basic IT issues effectively.
