Job Description

Overview

  • Serve as the first point of contact for visitors and employees, ensuring a professional and welcoming environment.
  • Provide administrative support to the department, including managing calendars and travel logistics.
  • Handle incoming calls, screen and direct them appropriately, and manage correspondence.
  • Maintain office supplies, equipment, and ensure the tidiness of common areas.
  • Prepare invoices, expense reports, and other documentation with accuracy and timeliness.
  • Support mail sorting, delivery reception, and general clerical tasks as needed.
  • Collaborate effectively with team members, clients, and the public to ensure smooth operations.
  • Adapt to varying responsibilities and provide coverage for other staff when required.
  • Contribute to the overall efficiency and organization of the administrative department.

Key Responsibilities & Duties

  • Greet and assist visitors and employees, ensuring excellent customer service at all times.
  • Manage conference room calendars, prioritize meeting requests, and coordinate travel arrangements.
  • Answer and direct telephone calls, screen inquiries, and handle correspondence professionally.
  • Prepare and submit invoices, expense reports, and other administrative documents accurately.
  • Sort mail, receive deliveries, and maintain organized reception and pantry areas.
  • Monitor and maintain office equipment, supplies, and ensure operational readiness.
  • Provide general administrative and clerical support to the team as required.
  • Collaborate with colleagues to ensure seamless coverage and support during staff absences.
  • Perform additional duties as assigned to support departmental objectives.

Job Requirements

  • Associate's degree in a relevant field is required.
  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook.
  • Minimum of 1-3 years of experience in a similar role, preferably with reception experience.
  • Strong organizational skills and attention to detail in administrative tasks.
  • Ability to work independently and proactively to address departmental needs.
  • Excellent communication and interpersonal skills for interacting with diverse stakeholders.
  • Capable of maintaining a professional demeanor in a fast-paced environment.
  • Flexibility to adapt to changing priorities and provide coverage for other staff.
