Overview
- Serve as the first point of contact for visitors and employees, ensuring a professional and welcoming environment.
- Provide administrative support to the department, including managing calendars and travel logistics.
- Handle incoming calls, screen and direct them appropriately, and manage correspondence.
- Maintain office supplies, equipment, and ensure the tidiness of common areas.
- Prepare invoices, expense reports, and other documentation with accuracy and timeliness.
- Support mail sorting, delivery reception, and general clerical tasks as needed.
- Collaborate effectively with team members, clients, and the public to ensure smooth operations.
- Adapt to varying responsibilities and provide coverage for other staff when required.
- Contribute to the overall efficiency and organization of the administrative department.
Key Responsibilities & Duties
- Greet and assist visitors and employees, ensuring excellent customer service at all times.
- Manage conference room calendars, prioritize meeting requests, and coordinate travel arrangements.
- Answer and direct telephone calls, screen inquiries, and handle correspondence professionally.
- Prepare and submit invoices, expense reports, and other administrative documents accurately.
- Sort mail, receive deliveries, and maintain organized reception and pantry areas.
- Monitor and maintain office equipment, supplies, and ensure operational readiness.
- Provide general administrative and clerical support to the team as required.
- Collaborate with colleagues to ensure seamless coverage and support during staff absences.
- Perform additional duties as assigned to support departmental objectives.
Job Requirements
- Associate's degree in a relevant field is required.
- Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook.
- Minimum of 1-3 years of experience in a similar role, preferably with reception experience.
- Strong organizational skills and attention to detail in administrative tasks.
