Job Description

Overview

  • Provide comprehensive administrative support to executives and team members in a dynamic, fast-paced environment.
  • Manage complex calendars, appointments, and meetings, ensuring seamless scheduling and prioritization.
  • Coordinate travel arrangements, including itineraries, reservations, and compliance with company policies.
  • Prepare and submit expense reports using designated software systems.
  • Organize and maintain electronic files adhering to established protocols and compliance standards.
  • Support department and company events, ensuring smooth execution and coordination.
  • Act as a liaison with internal and external contacts, maintaining professional relationships.
  • Provide backup support to administrative team members as needed.
  • Exhibit discretion and professionalism in handling sensitive and confidential information.

Key Responsibilities & Duties

  • Manage heavy business calendars and coordinate appointments in a dynamic environment.
  • Prepare and process expense reports accurately and efficiently.
  • Coordinate travel arrangements, ensuring compliance with company policies and vendor guidelines.

Job Requirements

  • Associate of Arts (AA) degree or equivalent educational background.
  • Minimum of 3 years of administrative support experience, preferably 5 years.
  • Proficiency in travel coordination and expense management software.
  • Strong organizational skills with attention to detail and compliance adherence.
  • Ability to handle sensitive and confidential information with discretion.
  • Excellent interpersonal skills to liaise with internal and external contacts.
  • Capability to manage multiple priorities in a fast-paced environment.
