Job Description

Overview

  • Serve as the first point of contact for visitors and clients, ensuring a professional and welcoming front desk environment.
  • Support daily administrative operations within a commercial and industrial construction company, contributing to smooth office functionality.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, with efficiency and professionalism.
  • Maintain organized physical and digital filing systems, ensuring easy access to important documents.
  • Collaborate with project teams and leadership to provide administrative assistance and support.
  • Coordinate office schedules, meetings, and events, ensuring seamless operations.
  • Contribute to maintaining a clean and organized office environment, including common areas.
  • Assist in preparing reports, presentations, and other documentation as required.
  • Provide proactive support to enhance overall office efficiency and productivity.

Key Responsibilities & Duties

  • Greet and assist visitors, clients, and vendors professionally, ensuring a positive experience.
  • Answer, screen, and direct incoming phone calls, providing accurate information and assistance.
  • Manage incoming and outgoing mail, packages, and deliveries efficiently.
  • Maintain a clean and organized front desk and common office areas, promoting a professional environment.
  • Provide administrative support to project teams, leadership, and office management as needed.
  • Assist with document preparation, scanning, copying, and filing tasks to ensure organized records.
  • Coordinate and schedule meetings, ensuring timely communication and preparation.
  • Take meeting notes and distribute them to relevant stakeholders, ensuring effective communication.
  • Support overall office operations and perform additional tasks as required by management.

Job Requirements

  • Associate of Applied Science (AAS) degree or equivalent educational background required.
  • Minimum of 4 years of experience in front desk or administrative roles; 6 years preferred.
  • Proficiency in Microsoft Word, Outlook, and Excel, with strong computer skills.
  • Excellent written and verbal communication skills, with a professional and friendly demeanor.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Experience in the construction industry preferred but not required.
  • Strong organizational skills and attention to detail to ensure accuracy and efficiency.
  • Comfortable working on-site with standard office hours from 8:00 AM to 4:00 PM.
