Key Responsibilities & Duties
- Manage calendars and schedules for senior professionals, ensuring efficient time management.
- Coordinate complex travel arrangements and prepare itineraries for team members.
- Screen and route incoming communications, ensuring timely follow-up and resolution.
- Prepare and proofread correspondence, maintaining administrative files and records.
- Manage expense reports using Concur and oversee office supplies inventory.
- Maintain and update the firm's database of contacts and interactions.
- Assist with event planning, including holiday parties, executive dinners, and team offsites.
- Conduct desktop research and support investment-related activities as needed.
Job Requirements
- Bachelor's degree required, preferably in a related field.
- Minimum of 3 years of experience as an Executive Assistant, preferably in asset management or investment firms.
- Proficiency in managing schedules, travel arrangements, and administrative tasks.
- Strong organizational and communication skills with attention to detail.
- Ability to prioritize tasks and work efficiently in a dynamic environment.
- Experience with Concur and database management systems like DealCloud preferred.
- Demonstrated discretion and confidentiality in handling sensitive information.
- Proven ability to collaborate effectively with diverse stakeholders.
