Job Description

Overview

  • Provide comprehensive administrative support to senior executives, ensuring seamless operations and effective communication.
  • Manage complex calendars, prioritize meetings, and resolve scheduling conflicts with professionalism.
  • Coordinate meeting logistics, including virtual setups, materials preparation, and follow-ups.
  • Act as a liaison between executives and stakeholders, managing incoming requests and aligning with priorities.
  • Handle domestic and international travel arrangements, ensuring smooth itineraries and accommodations.
  • Prepare and reconcile expense reports accurately and promptly.
  • Assist in drafting and proofreading correspondence, presentations, and other documents.
  • Maintain organized records and documentation for efficient retrieval and reference.
  • Support office operations, including supply management and administrative tasks.

Key Responsibilities & Duties

  • Provide administrative support to multiple executives, managing competing priorities effectively.
  • Coordinate and manage executive calendars, scheduling meetings and resolving conflicts.
  • Organize meeting logistics, including virtual setups and materials preparation.
  • Act as a gatekeeper for executives, handling requests and ensuring alignment with priorities.
  • Arrange travel plans, including transportation and accommodations, for domestic and international trips.
  • Prepare and process expense reports, ensuring accuracy and timeliness.
  • Draft, proofread, and edit correspondence and presentations for executives.
  • Maintain organized records and files for efficient access and reference.
  • Support office operations, including supply management and general administrative tasks.

Job Requirements

  • Bachelor’s degree or equivalent experience required; prior experience supporting senior executives preferred.
  • Minimum of 3 years of experience in administrative roles, preferably supporting multiple executives.
  • Proficiency in Microsoft Office Suite, with advanced skills in Excel and Outlook.
  • Strong organizational and time management skills with attention to detail.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Experience with expense management and calendar tools is preferred.
  • Legal right to work in the U.S. is required.
