Overview
- Support shareholder services for US and international funds, ensuring operational efficiency and compliance with industry standards.
- Coordinate fund distributions, regulatory filings, and operational updates with transfer agents and distribution partners.
- Manage shareholder prospectuses, annual reports, and investor documentation to ensure accurate and timely delivery.
- Utilize project management tools to track progress and meet critical deadlines effectively.
- Analyze trade notifications, tax reporting, and board materials to support decision-making processes.
- Collaborate with internal teams to address onboarding, platform distribution, and compliance queries.
- Enhance operational workflows by implementing process improvements and optimizing existing systems.
- Maintain meticulous attention to detail in all aspects of operational risk mitigation and data analysis.
Key Responsibilities & Duties
- Oversee transfer agent policies, call center operations, and compliance testing for shareholder services.
- Coordinate operational changes and corporate actions with distribution partners to meet deadlines.
- Manage fund distributions, including capital gains and dividends, in collaboration with fund administration.
- Handle regulatory filings, print vendor relationships, and website updates for shareholder communications.
- Support sales teams with prospectus eligibility, onboarding, and platform distribution inquiries.
- Maintain and update internal workflows, procedure manuals, and investor materials.
- Prepare trade notifications, tax reports, and board meeting materials for internal and external stakeholders.
- Assist with audit requests, invoice processing, and recurring reporting tasks.
Job Requirements
- Bachelor’s degree in Finance, Business, or a related field is required.
- Minimum of 3 years of relevant experience; 7 years preferred.
- Experience with mutual funds, interval funds, BDCs, ETFs, and Irish investment funds is advantageous.
- Knowledge of transfer agency applications, particularly SS&C, is preferred.
- Familiarity with wirehouses, RIAs, and platforms like iCapital and CAIS is beneficial.
- Preferred certifications include Series 6 and 63.
- Strong analytical skills for organizing and interpreting complex data sets.
- Proven ability to lead process improvements and optimize workflows.
