Job Description

Overview

  • Provide comprehensive administrative support to the Legal Talent Management and Recruitment team.
  • Coordinate schedules, meetings, and travel arrangements for senior management.
  • Handle document preparation, filing, and organization tasks efficiently.
  • Collaborate with internal and external stakeholders to ensure seamless operations.
  • Monitor communications and manage inquiries with professionalism.
  • Support departmental activities and special projects as needed.
  • Maintain a hybrid work schedule with core hours from 9:30 AM to 5:30 PM.
  • Contribute to a collaborative and client-focused work environment.

Key Responsibilities & Duties

  • Manage day-to-day administrative needs of senior management using independent judgment.
  • Coordinate and schedule meetings, including catering and multimedia arrangements.
  • Screen telephone calls, emails, and visitors, maintaining records of communications.
  • Prepare and edit documents, spreadsheets, and presentations with precision.
  • Organize and maintain files and records systematically.
  • Collaborate with the Finance Department on invoices and expense reports.
  • Arrange travel bookings and related activities for senior management.
  • Assist with special projects and additional tasks as required.

Job Requirements

  • Bachelor’s degree preferred, ideally in a relevant field.
  • Five to ten years of administrative or executive assistant experience, preferably in legal or professional services.
  • Proficiency in Microsoft Office Suite and Adobe Professional.
  • Experience with billing/invoicing databases and document management systems.
  • Strong organizational skills and ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Ability to work in a hybrid environment with flexibility for overtime.
  • Energetic, proactive, and a collaborative team player.
