Overview

  • Provide administrative support to a law firm, ensuring smooth daily operations and client interactions.
  • Assist with client intake, inquiries, and appointment scheduling, maintaining professionalism and empathy.
  • Perform data entry, database research, and document processing with high accuracy and attention to detail.
  • Proofread documents and manage mail preparation, filing, and email monitoring tasks.
  • Work on-site in a charming Victorian office setting, contributing to a collaborative team environment.
  • Handle multitasking responsibilities, ensuring timely completion of administrative duties.
  • Support the firm’s operations by maintaining organized records and communication channels.
  • Engage with clients in crisis situations, demonstrating calmness and compassion during interactions.

Key Responsibilities & Duties

  • Answer phones for prospective client intakes, inquiries, and appointment scheduling.
  • Perform accurate data entry and database research to support case management.
  • Process documents, including proofreading and ensuring high-quality standards.
  • Prepare mail, monitor emails, and manage filing systems efficiently.
  • Print and sort emails, maintaining organized communication records.
  • Demonstrate multitasking abilities to handle various administrative tasks simultaneously.
  • Collaborate with team members to ensure seamless office operations.
  • Provide empathetic and professional support to clients during phone interactions.

Job Requirements

  • Bachelor of Arts (BA) degree required for this position.
  • Minimum of 1 year of experience in administrative roles preferred.
  • Proficiency in data entry, database research, and document proofreading.
  • Strong multitasking skills with attention to detail and accuracy.
  • Calm and compassionate demeanor for handling client interactions.
  • Notary Public certification and valid driver’s license are advantageous.
  • Ability to work on-site in a professional office environment.
  • Excellent communication skills, both verbal and written.
