Job Description

Overview

  • Provide high-level administrative and logistical support to senior leadership in a dynamic, hybrid work environment.
  • Coordinate schedules, travel arrangements, and expense reporting with precision and efficiency.
  • Assist with program management tasks, including meeting organization and workflow optimization.
  • Support research, writing, and proofreading for speeches, articles, and reports.
  • Collaborate with interns and contribute to team projects and initiatives.
  • Engage in special projects and additional duties as assigned by leadership.
  • Ensure timely responses to inquiries and requests, maintaining professional communication standards.
  • Contribute to the organization’s mission through effective administrative and research support.

Key Responsibilities & Duties

  • Organize and manage meetings, ensuring streamlined workflows and effective program coordination.
  • Maintain schedules and calendars using advanced tools like Microsoft Outlook and Zoom.
  • Prepare travel arrangements and expense reports with accuracy using Concur software.
  • Draft correspondence, screen emails and calls, and ensure professional responses.
  • Conduct research and provide writing support for organizational materials and reports.
  • Assist in supervising interns and fostering team development efforts.
  • Handle special projects and urgent tasks as assigned by leadership.
  • Maintain confidentiality and discretion with sensitive information.

Job Requirements

  • 5-7 years of executive-level administrative support experience in relevant industries.
  • Bachelor’s degree or equivalent experience required; High School Diploma/GED minimum.
  • Proficiency with Microsoft Office Suite, Zoom, Concur, Salesforce, and other tools.
  • Strong organizational skills and ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills with attention to detail.
