Job Description

Overview

  • Coordinate and manage the preparation, review, and submission of firm invoices, ensuring accuracy and compliance with billing arrangements.
  • Maintain billing files and update billing instructions to align with firm policies and client requirements.
  • Assist billing partners with the administration of unbilled inventory, ensuring timely processing and resolution.
  • Handle complex billing scenarios, including discounts, split-party billing, and electronic bill preparation.
  • Provide support for special projects and collaborate with team members to meet organizational goals.
  • Ensure effective communication with attorneys, secretaries, and clients regarding billing matters and inquiries.
  • Research and resolve billing issues promptly, identifying and correcting inaccuracies as needed.
  • Utilize legal billing software and tools to streamline processes and enhance efficiency.
  • Support the team by providing backup assistance and contributing to a collaborative work environment.

Key Responsibilities & Duties

  • Compile and process attorney bills monthly, ensuring accuracy and adherence to firm policies.
  • Review and edit pre-bills based on attorney and secretary requests, tracking Proformas for timely billing.
  • Monitor aged unbilled inventory and ensure prompt billing submissions.
  • Apply retainer funds according to attorney instructions and firm guidelines.
  • Process write-offs and handle electronic bill submissions, resolving issues effectively.
  • Verify supporting documentation for billing and respond to inquiries regarding billing issues.
  • Identify and correct billing inaccuracies, maintaining effective communication with stakeholders.
  • Assist with special projects and provide backup support to team members as needed.
  • Utilize legal billing software, including 3E and eHUB, to enhance billing processes.

Job Requirements

  • Bachelor’s degree or higher in accounting, finance, or related field preferred.
  • Minimum of 5 years of billing experience in a law firm environment required.
  • Proficiency in legal billing software such as 3E and eHUB preferred.
  • Strong skills in Microsoft Excel and Word, with experience in Smartsheet.
  • Excellent verbal and written communication skills, with attention to detail and organization.
  • Ability to prioritize tasks, manage multiple deadlines, and adapt to various work situations.
  • Analytical and problem-solving skills with flexibility to work additional hours as needed.
  • Team-oriented mindset with the ability to work independently and collaboratively.
