Job Description

Overview

  • Provide high-level administrative support to the Asset Management team, ensuring seamless operations and coordination across executive functions.
  • Manage complex schedules, travel arrangements, and correspondence with internal and external stakeholders professionally and efficiently.
  • Prepare, edit, and oversee business documents with exceptional attention to detail and accuracy.
  • Serve as a gatekeeper, prioritizing tasks and managing competing demands effectively to support executive decision-making.
  • Coordinate formal meetings and liaise with professional organizations to ensure successful engagements.
  • Conduct research and provide analytical insights to support strategic initiatives and projects.
  • Process expense reports, invoices, and other administrative tasks with precision and timeliness.
  • Foster a deep understanding of business activities and corporate culture to enhance decision-making and collaboration.

Key Responsibilities & Duties

  • Maintain and manage detailed executive calendars, ensuring optimal scheduling and prioritization.
  • Coordinate travel arrangements, including itineraries, accommodations, and logistics, for seamless executive mobility.
  • Prepare and format professional documents using advanced Microsoft Office tools.
  • Act as a liaison with boards, committees, and professional organizations to facilitate effective communication.
  • Organize and oversee arrangements for meetings, ensuring all logistical needs are met.
  • Conduct thorough research and provide analytical support to enhance project outcomes.
  • Process expense reports and invoices using systems like Concur with accuracy and compliance.
  • Balance priorities effectively to meet deadlines and ensure workflow efficiency.

Job Requirements

  • Bachelor of Arts (BA) degree required, with a focus on business or related fields preferred.
  • Minimum of 6 years of experience in corporate administrative support roles; 8 years preferred.
  • Proficiency in Microsoft Office Suite and adaptability to new technologies and systems.
  • Exceptional communication skills, both written and verbal, for interaction with senior management and stakeholders.
  • Strong organizational skills to manage multiple priorities in a fast-paced environment.
  • Experience with expense reporting and invoice processing systems, such as Concur.
  • Professional demeanor, attention to detail, and ability to maintain confidentiality.
