Job Description

Overview

  • Support the Executive Office by managing administrative tasks under the direction of the Senior Executive Assistant.
  • Assist the Executive Secretary-Treasurer in daily operations, ensuring smooth business processes and effective communication.
  • Coordinate travel arrangements, meeting logistics, and event planning to maintain seamless operations.
  • Handle correspondence, presentations, and special projects with professionalism and attention to detail.
  • Provide hospitality and logistical support for internal and external guests during meetings and events.
  • Maintain a polished and professional demeanor while managing multiple tasks in a high-paced environment.
  • Opportunity for growth into the Senior Executive Assistant role within five years.
  • Hybrid eligible position with initial in-office assignment for six months.

Key Responsibilities & Duties

  • Provide administrative support to the Executive Secretary-Treasurer, including managing schedules and communications.
  • Coordinate travel arrangements and ensure timely transportation for guests and staff.
  • Organize and handle logistics for meetings and events, including catering and material preparation.
  • Assist with special projects, presentations, and correspondence as needed.
  • Manage incoming phone calls and emails, triaging inquiries effectively.
  • Build and maintain relationships with internal and external stakeholders.
  • Learn and perform essential functions of the Senior Executive Assistant role as a backup.
  • Ensure timely and accurate notifications to trustees, leadership, and other relevant parties.

Job Requirements

  • Minimum of 3 years of executive assistant experience in a high-paced environment.
  • High School Diploma required; college degree preferred.
  • Proficiency in Microsoft Office Suite, including PowerPoint, Outlook, and OneNote.
  • Strong verbal and written communication skills with attention to detail.
  • Ability to manage multiple tasks and meet deadlines independently.
  • Professional demeanor and polished appearance suitable for executive-level interactions.
  • Clean driving record required for transportation responsibilities.
  • Flexibility and adaptability to support dynamic business needs.
