Job Description

Overview

  • Support multiple divisions within a mission-driven organization, coordinating events, meetings, and logistics with senior industry leaders.
  • Collaborate with volunteer committees to manage timelines, communications, and operational tasks effectively.
  • Engage in executive-level administrative support, ensuring smooth execution of division activities.
  • Coordinate keynote speakers and event content to enhance attendee experience and engagement.
  • Drive project timelines and prioritize tasks based on event schedules and deadlines.
  • Maintain organized records, calendars, and follow-up communications for division operations.
  • Collaborate cross-functionally with internal teams to ensure successful event execution.
  • Provide professional support and relationship management for senior stakeholders and external partners.

Key Responsibilities & Duties

  • Coordinate division meetings, events, and programming for multiple divisions simultaneously.
  • Partner with division leadership and subject matter experts to achieve operational goals.
  • Manage timelines, communications, and logistical planning for division activities.
  • Support attendee engagement and outreach efforts to enhance participation.
  • Coordinate keynote speakers and event materials to ensure high-quality programming.
  • Maintain organized records, calendars, and follow-up communications for division operations.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum of 3 years of experience in program coordination, event coordination, or administrative support.
  • Preferred 4 years of experience in association management, nonprofit organizations, or related fields.
  • Strong organizational and multitasking skills with the ability to manage competing priorities.
  • Excellent written and verbal communication abilities.
  • Professional demeanor with strong stakeholder management skills.
  • Experience supporting senior leadership or external partners preferred.
