Job Description

Overview

  • Provide dedicated administrative support to the CEO, ensuring seamless coordination of schedules, priorities, and strategic initiatives.
  • Collaborate with senior leadership to align organizational goals with executive directives and enhance operational efficiency.
  • Manage the CEO’s calendar, scheduling meetings, and optimizing time for critical engagements and decision-making.
  • Coordinate travel arrangements, logistics, and event planning for conferences and executive appearances.
  • Support office operations, fostering a professional and productive work environment.
  • Engage with cross-functional teams to ensure effective communication and collaboration across global locations.
  • Assist in planning, documentation, and tracking progress on special projects and initiatives.
  • Contribute to organizational efficiency by streamlining administrative processes and workflows.

Key Responsibilities & Duties

  • Coordinate with leadership to ensure readiness for meetings and calls with the CEO.
  • Manage executive correspondence, including screening, drafting responses, and archiving emails.
  • Plan and oversee travel logistics for events, conferences, and speaking engagements.
  • Organize team meetings, office events, and team-building activities to foster collaboration.
  • Oversee budgeting, invoicing, and financial processes related to office activities.
  • Coordinate with global office managers to ensure consistency in operational standards.
  • Assist HR with administrative tasks and support during recruitment fairs and events.
  • Maintain office supplies, mail handling, and equipment to ensure operational efficiency.

Job Requirements

  • Bachelor’s Degree or equivalent, preferably in a related field.
  • Minimum of 4 years’ experience in executive support or office management roles.
  • Proficiency in Microsoft Office Suite and CRM systems.
  • Exceptional organizational and interpersonal skills with attention to detail.
  • Ability to manage multiple priorities and work effectively under pressure.
  • Experience in creative industries or global organizations is advantageous.
  • Fluency in English; additional language skills are a plus.
  • Strong problem-solving skills and adaptability in dynamic environments.
