Job Description

Overview

  • Support a mission-driven nonprofit organization by providing essential administrative assistance to the Executive Director and team.
  • Manage scheduling, calendar coordination, and travel arrangements to ensure smooth daily operations.
  • Organize and maintain digital files, ensuring secure handling of sensitive documents.
  • Perform data entry and maintain accurate records for reporting and compliance purposes.
  • Distribute communications and materials to stakeholders, partners, and community organizations.
  • Assist with social media management and content scheduling to promote outreach initiatives.
  • Provide operational support for events, including scheduling and logistics coordination.
  • Collaborate with team members to enhance organizational efficiency and effectiveness.

Key Responsibilities & Duties

  • Coordinate schedules, meetings, and travel arrangements for the Executive Director.
  • Manage digital filing systems, ensuring proper naming conventions and version control.
  • Perform data entry tasks, maintaining organized records and databases.
  • Distribute email flyers and communications to community partners and stakeholders.
  • Update and maintain webinar attendee spreadsheets, tracking registrations and attendance.
  • Schedule and submit posts across social media platforms to promote programs.
  • Handle general office tasks, including email management, filing, and supply ordering.
  • Provide ad-hoc support for team projects and initiatives as needed.

Job Requirements

  • Proficiency in Google Workspace and Microsoft Office Suite for document management and communication.
  • Experience with digital tools like MailChimp, Eventbrite, and CRM platforms preferred.
  • Familiarity with social media platforms and basic WordPress website management.
  • Strong organizational skills and ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills for professional correspondence.
  • Bachelor's or Associate degree preferred; relevant experience considered.
  • Passion for nonprofit missions and community outreach; DC-area familiarity a plus.
  • Comfort with learning new software independently and handling sensitive documents securely.
