Overview
- Serve as a key member of the Leave Management Unit, ensuring timely and accurate communication with employees and vendors.
- Oversee entry of time and pay data for employees on approved leaves of absence, both continuous and intermittent.
- Resolve or escalate leave-related issues, maintaining compliance with HIPAA policies and procedures.
- Collaborate with managers and timekeepers on leave-related inquiries and ensure accurate tracking of donated sick or vacation time.
- Maintain leave records and confidentiality of medical and personal information in accordance with privacy standards.
- Provide guidance to employees regarding leave policies, claim statuses, and accommodation needs.
- Adapt to a fast-paced environment, handling multiple tasks simultaneously with impeccable attention to detail.
- Collaborate within the Employee Relations team to enhance employee experience and satisfaction.
Key Responsibilities & Duties
- Respond to employee inquiries regarding leave policies, claim statuses, and time/pay details during leaves of absence.
- Guide employees to appropriate resources for leave administration and accommodation needs.
- Create and manage leave cases in the timekeeping system accurately upon approval from third-party administrators.
- Assess and determine leave statuses for internally managed cases, sending appropriate communications to employees and managers.
- Advise managers and timekeepers on leave-related time code inquiries and ensure accurate tracking of donated time.
- Collect and process incoming leave-related correspondence, maintaining compliance with HIPAA policies.
- Collaborate with the Employee Relations team to address leave-related challenges and improve processes.
- Ensure privacy and confidentiality of sensitive information in accordance with organizational policies.
Job Requirements
- Bachelor’s Degree or equivalent work experience in a related field.
- Minimum of one year of experience in leave administration or payroll roles.
- Proficiency in Microsoft Office applications, particularly Excel and Outlook.
- Experience with HR systems such as Workday and Kronos is a plus.
- Strong attention to detail, follow-through, and ability to handle multiple tasks simultaneously.
- Excellent written and verbal communication skills, with the ability to simplify complex information.
- Customer-service oriented with a positive attitude and solutions-focused mindset.
- Healthcare industry experience is advantageous but not mandatory.
