Job Description

Overview

  • Support attorneys with administrative tasks, project management, and client communication in a hybrid work environment.
  • Ensure timely completion of legal documents, correspondence, and presentations, maintaining accuracy and professionalism.
  • Manage attorney calendars, travel itineraries, and meeting logistics, resolving scheduling conflicts effectively.
  • Collaborate with legal support teams to ensure smooth onboarding of new attorneys and efficient project execution.
  • Maintain electronic and paper filing systems, ensuring accessibility and organization of legal documents.
  • Conduct research for case preparation and executive briefings, compiling relevant information accurately.
  • Oversee billing matters, ensuring accurate processing and timely delivery of final bills.
  • Utilize firm software and tools for document production, case management, and virtual collaboration.

Key Responsibilities & Duties

  • Provide administrative support to attorneys, ensuring deadlines are met and tasks are completed efficiently.
  • Act as a liaison between attorneys, clients, and internal departments, handling inquiries and relaying messages.
  • Draft, proofread, and finalize legal documents and correspondence, ensuring accuracy and professionalism.
  • Collaborate with legal support assistants and teams to complete assignments and improve project outcomes.
  • Mentor and provide feedback to legal support assistants, fostering professional development and skill enhancement.
  • Organize and maintain filing systems, ensuring documents are accessible and up-to-date.
  • Coordinate meeting logistics, prepare agendas, and ensure materials are accurately prepared and available.
  • Manage billing processes, addressing inquiries and ensuring timely delivery of final bills.

Job Requirements

  • High School Diploma or GED required; Bachelor’s degree in legal studies or related field preferred.
  • Minimum of 5 years’ experience in an administrative role within legal or corporate environments.
  • Proficiency in legal software, document production tools, and virtual collaboration platforms.
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced setting.
  • Excellent communication skills, both written and verbal, with attention to detail.
  • Ability to maintain confidentiality and discretion in handling sensitive legal matters.
  • Experience with billing processes and collaboration with internal teams for project execution.
