Job Description

Overview

  • Provide executive-level administrative support to attorneys, ensuring seamless operations and effective communication within the legal team.
  • Manage complex calendars, coordinate travel arrangements, and resolve scheduling conflicts efficiently.
  • Draft, proofread, and finalize legal documents and correspondence with exceptional attention to detail.
  • Oversee electronic and paper filing systems, ensuring organization and accessibility of legal materials.
  • Collaborate with internal departments and external parties to plan and execute meetings and events.
  • Support onboarding processes for new attorneys, facilitating smooth transitions and integration into the firm.
  • Conduct research and compile information for case preparation and executive briefings.
  • Utilize firm software and tools for efficient document production, review, and case research.

Key Responsibilities & Duties

  • Provide comprehensive administrative support to attorneys, ensuring deadlines are met and tasks are completed efficiently.
  • Serve as a liaison between attorneys, clients, and internal departments, handling inquiries and relaying messages accurately.
  • Delegate assignments to support teams, monitor progress, and ensure successful project outcomes.
  • Draft, proofread, and finalize legal documents, correspondence, and presentations, ensuring accuracy and professionalism.
  • Maintain and organize electronic and paper filing systems, ensuring accessibility and compliance.
  • Conduct research and compile information for case preparation and executive briefings.
  • Coordinate meeting logistics, prepare agendas, and ensure materials are accurately prepared and available.
  • Manage billing matters, ensuring timely processing and addressing inquiries effectively.
  • Provide mentorship and feedback to support staff, fostering professional development and collaboration.

Job Requirements

  • High School Diploma or GED required; Bachelor's degree in legal studies or related field preferred.
  • Minimum 5 years of experience in an administrative role within a corporate or legal environment.
  • Proficiency in Microsoft Office Suite, case management software, and virtual collaboration tools.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Exceptional communication skills, both written and verbal, with attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proven ability to build professional relationships and collaborate effectively at all levels.
