Job Description

Overview

  • Support attorneys by performing confidential legal assistant tasks and administrative duties in a dynamic legal environment.
  • Collaborate with a professional team to manage legal documents, correspondence, and client interactions effectively.
  • Engage in hybrid work arrangements, ensuring flexibility and productivity in a fast-paced setting.
  • Participate in client meetings, document witnessing, and legal brief transcription for comprehensive case support.
  • Handle electronic court filings, mail processing, and calendar management for seamless operations.
  • Assist with travel arrangements, reimbursements, and billing processes to support organizational efficiency.
  • Maintain confidential files and proactively manage contact databases for streamlined communication.
  • Contribute to team efforts by supporting attorneys and legal assistants within the group and office.

Key Responsibilities & Duties

  • Perform transcription of legal briefs, correspondence, and confidential memoranda from rough and oral drafts.
  • Attend client meetings to witness document signing and ensure compliance with legal protocols.
  • Manage electronic filing of court documents and maintain accurate records.
  • Answer telephone calls, transfer calls, and take messages to facilitate communication.
  • Prepare and confirm daily work calendars, schedule meetings, and coordinate court dates.
  • Assist with travel arrangements, internal correspondence, and reimbursements for attorneys and paralegals.
  • Process bills, proof billing sheets, and review and edit invoices for accuracy.
  • Maintain confidential administrative files and proactively manage contact databases.

Job Requirements

  • High School Diploma or GED required; additional legal training or certifications preferred.
  • Three to five years of legal assistance experience in a fast-paced environment.
  • Proficiency in typing at a minimum speed of 70 words per minute.
  • Strong organizational skills and ability to multitask effectively under pressure.
  • Experience with electronic court filings and legal document management systems.
  • Ability to maintain confidentiality and handle sensitive legal information responsibly.
  • Proficiency in Microsoft Outlook and Interaction for contact management.
  • Excellent communication skills for client interactions and team collaboration.
