Job Description

Overview

  • Serve as the first point of contact for visitors and calls, ensuring professional and courteous interactions.
  • Coordinate conference room bookings and visitor office reservations, maintaining accurate schedules and records.
  • Provide administrative support to attorneys, management, and other departments as needed.
  • Assist with meeting and event needs, working closely with facilities and kitchen teams.
  • Ensure confidentiality of client and firm matters while maintaining professional decorum.
  • Handle incoming calls and deliveries, directing them to appropriate individuals efficiently.
  • Support a fast-paced environment with multitasking and organizational skills.
  • Adhere to established policies and procedures for front desk operations.

Key Responsibilities & Duties

  • Answer and direct incoming calls, ensuring prompt and professional communication.
  • Manage conference room schedules, ensuring accurate bookings and avoiding conflicts.
  • Coordinate visitor office reservations and maintain up-to-date visitor information.
  • Provide administrative assistance to attorneys and other staff members as required.
  • Collaborate with facilities and kitchen teams to support meetings and events.
  • Ensure smooth operation of conference room services during meetings.
  • Maintain confidentiality and professionalism in all interactions and tasks.
  • Perform general front desk duties, including receiving deliveries and greeting visitors.

Job Requirements

  • Bachelor of Arts (BA) degree required, with relevant administrative experience preferred.
  • Minimum of 1 year of receptionist or administrative experience in a professional setting.
  • Proficiency in Microsoft Office Suite, including Excel, is essential.
  • Prior experience with visitor and office space reservation tools is advantageous.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Excellent communication skills and a friendly, personable demeanor.
  • Ability to maintain confidentiality and professionalism in all tasks.
  • Willingness to work on-site five days a week and start immediately.
