Job Description

Overview

  • Contribute to shareholder services excellence for diverse investment funds in a hybrid work environment.
  • Coordinate fund distributions, regulatory filings, and operational updates with internal and external stakeholders.
  • Ensure compliance and operational efficiency through detailed process management and optimization.
  • Collaborate across teams to address onboarding, distribution, and compliance inquiries effectively.
  • Utilize project management tools to track progress and meet critical deadlines consistently.
  • Analyze trade notifications, tax reporting, and board materials to support informed decision-making.
  • Enhance workflows by implementing process improvements and optimizing existing systems.
  • Maintain accurate and timely delivery of shareholder prospectuses, reports, and investor documentation.

Key Responsibilities & Duties

  • Oversee transfer agent policies, call center operations, and compliance testing for shareholder services.
  • Coordinate operational changes and corporate actions with distribution partners to meet deadlines.
  • Manage fund distributions, including capital gains and dividends, in collaboration with fund administration.
  • Handle regulatory filings, print vendor relationships, and website updates for shareholder communications.
  • Support sales teams with prospectus eligibility, onboarding, and platform distribution inquiries.
  • Maintain and update internal workflows, procedure manuals, and investor materials.
  • Prepare trade notifications, tax reports, and board meeting materials for internal and external stakeholders.
  • Assist with audit requests, invoice processing, and recurring reporting tasks.

Job Requirements

  • Bachelor’s degree in Finance, Business, or a related field is required.
  • Minimum of 3 years of relevant experience; 7 years preferred.
  • Experience with mutual funds, interval funds, BDCs, ETFs, and Irish investment funds is advantageous.
  • Knowledge of transfer agency applications, particularly SS&C, is preferred.
  • Familiarity with wirehouses, RIAs, and platforms like iCapital and CAIS is beneficial.
  • Preferred certifications include Series 6 and 63.
  • Strong analytical skills for organizing and interpreting complex data sets.
  • Proven ability to lead process improvements and optimize workflows.
