Overview
- Provide specialized administrative support to attorneys in the Private Wealth practice area.
- Assist with document preparation, client communication, and scheduling tasks.
- Ensure confidentiality and professionalism in all client and firm matters.
- Support the Chair of the Private Wealth group in daily operations.
- Liaise with other teams and departments as needed for seamless coordination.
- Prepare and manage complex legal documents and correspondence.
- Handle scheduling, travel arrangements, and expense reporting efficiently.
- Maintain up-to-date client and matter records for assigned attorneys.
- Provide backup support to other team members when necessary.
Key Responsibilities & Duties
- Manage attorney calendars, schedule meetings, and arrange conference calls.
- Prepare and proofread legal documents, ensuring accuracy and completeness.
- Coordinate client billing and review prebills for accuracy.
- Assist with court filings and document preparation for state court cases.
- Maintain and organize client files, ensuring timely updates and storage.
- Provide excellent client service and maintain professional relationships.
- Create and update desk instructions for assigned attorneys.
- Support administrative tasks such as mail processing and file maintenance.
- Collaborate with team members to ensure efficient workflow and task completion.
Job Requirements
- Bachelor of Arts (BA) degree or equivalent education and experience.
- Minimum of 5 years of experience as a Legal Executive Assistant in a law firm.
- Proficiency in MS Word, Outlook, Excel, and legal document management systems.
- Strong organizational skills with attention to detail and precision.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience in Trusts and Estates practice area preferred.
- Valid Notary Public commission or willingness to obtain one.
- Ability to work onsite 4-5 days per week with occasional overtime.
