Job Description

Overview

  • Provide administrative support across multiple practice groups in a dynamic legal environment.
  • Serve as the first point of contact for clients, visitors, and staff.
  • Deliver high-quality legal administrative assistance as needed.
  • Adapt to various tasks and manage multiple priorities effectively.
  • Contribute to the firm's operational efficiency and client satisfaction.
  • Support attorneys with document preparation, filing, and scheduling.
  • Assist with time entry, expense reports, and billing processes.
  • Engage in e-filing and court filing processes as directed.

Key Responsibilities & Duties

  • Greet clients, visitors, and guests professionally and courteously.
  • Answer, screen, and direct incoming telephone calls efficiently.
  • Manage conference room scheduling and provide general assistance.
  • Prepare, revise, and proofread legal documents and correspondence.
  • Assist with document management, scanning, and filing tasks.
  • Support attorneys during peak workload periods and absences.
  • Monitor deadlines and assist with scheduling and follow-up activities.
  • Prepare engagement letters, conflict checks, and administrative forms.

Job Requirements

  • Minimum of 3 years of administrative or secretarial support experience.
  • Proficiency in Microsoft Office, particularly Microsoft Word.
  • Knowledge of legal procedures, terminology, and court rules.
  • Experience with e-filing in state and federal courts.
  • High school diploma required; associate’s degree preferred.
  • Strong verbal and written communication skills.
  • Ability to adapt to changing priorities and work in a fast-paced environment.
  • Experience with document management software preferred.
