Job Description

Overview

  • Provide administrative support to senior executives in a dynamic hybrid work environment.
  • Coordinate schedules, travel plans, and communications with precision and confidentiality.
  • Contribute to team efficiency by managing deliverables and facilitating special requests.
  • Work closely with Managing Directors and Partners in a professional setting.
  • Opportunity to extend contract based on performance and organizational needs.

Key Responsibilities & Duties

  • Manage multiple executive calendars, ensuring seamless coordination and prioritization.
  • Arrange and oversee complex travel plans, including multi-leg international trips.
  • Prepare and process expense reports with accuracy and timeliness.
  • Format and distribute internal and external communications such as memos and presentations.
  • Collaborate with team members to ensure deliverables are met efficiently.
  • Provide support beyond typical work hours when necessary to meet executive needs.
  • Assist in scheduling and managing global travel across multiple time zones.
  • Maintain confidentiality and professionalism in handling sensitive information.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum 5 years of experience as an Executive Assistant, preferably in finance or technology sectors.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
  • Strong organizational skills and attention to detail.
  • Experience managing schedules and processes in a fast-paced environment.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent interpersonal communication skills, both written and verbal.
  • Comfortable working with a large team and reporting to senior administration.
