Job Description

Overview

  • Provide administrative support to the biology department in a dynamic academic environment.
  • Serve as receptionist, managing phone calls, student inquiries, and visitor assistance.
  • Handle mail sorting, package logging, and distribution to ensure efficient operations.
  • Assist with procurement for teaching labs and maintain inventory records.
  • Support faculty with Scantron usage and maintain office equipment functionality.
  • Coordinate refreshments and cleanup for weekly colloquium events.
  • Perform special projects and tasks as assigned by department leadership.
  • Ensure confidentiality and discretion in handling sensitive materials.

Key Responsibilities & Duties

  • Open and close the office daily, ensuring security protocols are followed.
  • Manage incoming and outgoing communications, including phone calls and mail.
  • Place orders for lab supplies and assist with check requests and invoices.
  • Maintain stockroom and office supplies inventory, organizing and placing orders as needed.
  • Set up and clean up refreshments for weekly colloquium events.
  • Provide support for faculty and instructional staff with administrative tasks.
  • Ensure proper functioning of office equipment and coordinate repairs if necessary.
  • Collaborate with department administrator and chair on special projects.

Job Requirements

  • High School diploma required; Bachelor of Arts preferred.
  • Minimum of 2 years of administrative experience; 3 years preferred.
  • Proficiency in general computer applications, including documents and spreadsheets.
  • Strong interpersonal and communication skills to interact effectively with diverse groups.
  • Ability to handle confidential and sensitive materials with discretion.
  • Organizational skills to manage inventory and coordinate events.
  • Flexibility to work overtime for event support as needed.
  • Experience in academic or similar environments is a plus.
