Job Description
Overview
- Support the Trust and Estate Group in administrative and operational tasks for ultra-high-net-worth clients.
- Assist with trust and estate document preparation, execution, organization, and recordkeeping processes.
- Coordinate fiduciary, tax, payment, and client service-related processes across stakeholders.
- Maintain organized electronic and physical filing systems for correspondence and records.
- Respond to client inquiries and support scheduling and coordination needs effectively.
- Support special projects and ad hoc administrative and operational tasks as required.
- Serve as, or become, a notary to facilitate document execution processes.
Key Responsibilities & Duties
- Manage phone coverage, calendars, meeting scheduling, and travel arrangements for the team.
- Coordinate trustee commissions, trust-related expenses, and obligations accurately.
- Handle annual trust distributions, including correspondence and beneficiary communications.
- Assist in preparing estate planning documents like living wills and powers of attorney.
- Print, assemble, and bind estate planning documents, maintaining conformed copies post-execution.
- Update department meeting materials and tracking lists regularly.
- Support document execution processes as a notary and ensure compliance.
- Collaborate with internal and external stakeholders for seamless operations.
Job Requirements
- Bachelor of Arts (BA) degree required, preferably in a related field.
- 2-5 years of experience in legal assistant, trust and estates, or related administrative roles.
- Strong organizational, detail-oriented, and multitasking capabilities.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Professional communication skills for effective interaction with clients and advisors.
- Willingness to become a notary for document execution support.
- Familiarity with trust and estate documents is preferred but not mandatory.
- Ability to manage sensitive and confidential information discreetly.
