Job Description

Program Specialist Overview

  • The Program Specialist plays a vital role in supporting research initiatives and education programs within the organization.
  • Collaborates with the research team to manage grants, workshops, and symposia effectively.
  • Assists in administrative tasks, ensuring smooth operations and compliance with organizational standards.
  • Supports governance committees, working groups, and council meetings with scheduling, documentation, and follow-ups.
  • Contributes to marketing efforts by promoting research education and grant programs across various platforms.
  • Maintains historical databases and prepares reports, presentations, and promotional materials as needed.
  • Interacts with external stakeholders, including researchers and healthcare providers, to advance research activities.
  • Provides logistical support for annual meetings and special events, ensuring successful execution.
  • Works in a hybrid setting, combining remote and on-site work for optimal flexibility.

Program Specialist Key Responsibilities & Duties

  • Assist in the administration of research grants, including compliance reviews and payment processing.
  • Support professional development workshops and scientific symposia with planning and execution tasks.
  • Coordinate meetings for committees and working groups, including scheduling and documentation.
  • Develop and execute marketing strategies for research education and grant programs.
  • Maintain databases of research programs, speakers, reviewers, and participants.
  • Prepare stewardship reports for sponsors of research awards and programs.
  • Provide logistical support for annual meetings and special events, ensuring seamless operations.
  • Assist in the development and maintenance of standard operating procedures (SOPs).
  • Support financial management tasks related to research programs.

Program Specialist Job Requirements

  • Bachelor’s degree in a related field, preferably health sciences, is required.
  • Minimum of 2 years of experience in office administration or related roles.
  • Advanced proficiency in Microsoft Office Suite and virtual meeting platforms.
  • Strong organizational skills and ability to multitask effectively in a fast-paced environment.
  • Excellent verbal and written communication skills for interacting with diverse stakeholders.
  • Experience in online survey programming tools, such as Survey Monkey, is preferred.
  • Willingness to attend evening conference calls and work weekends for special events.
  • Ability to prioritize competing demands and projects effectively.
